This policy explains how Centre Médical Saint Martin uses and protects personal data collected on its site and in its portal.

Why do we process your data?

  • manage requests and appointments, reception and administrative follow-up;
  • ensure care, continuity of care and maintenance of patient records;
  • exchange documents and messages in the secure portal;
  • comply with legal, accounting, ethical and security obligations;
  • send the requested confirmations and reminders;
  • prevent abuse and keep a security log.

Depending on the processing, the legal bases are the execution of pre-contractual or contractual measures, compliance with legal obligations, the mission of care, the legitimate interest in securing the service, and consent when required. Health data is processed only in authorized cases, in particular for medicine, diagnosis, care and management of health services under professional responsibility.

Data concerned

Identity, contact details, appointment information, administrative and mutuality data, care file data, documents, exchanges, consents, billing information and technical security traces. The public appointment form does not request a diagnosis or detailed medical description.

Who can access it?

Only professionals and staff members authorized according to their role, as well as technical service providers strictly necessary and supervised contractually. The data is not sold. A transfer outside the European Economic Area can only take place if it is necessary, documented and covered by a guarantee in accordance with RGPD.

Shelf life

The data is kept for the period necessary for each purpose, then according to the deadlines imposed by the medical, legal, accounting and prescription rules applicable in Belgium. Requests not transformed into appointments and technical logs follow shorter durations defined in the internal processing register.

Your rights

You can request access, rectification, limitation, opposition when this possibility exists, portability in the cases provided for and erasure when no obligation justifies conservation. You can withdraw consent without calling into question the processing already carried out. Certain rights may be limited by medical record requirements.

You can also lodge a complaint with theData Protection Authority, Rue de la Presse 35, 1000 Brussels.

Privacy and security

The portal enforces role separation, secure sessions, forms protection, an audit log, communications encryption and access controls. Since no system can guarantee zero risk, the measures are reassessed regularly.

Public contact form

The contact form collects the first name, last name, telephone number, email address and message so that the secretariat can identify the sender and respond. The message text is encrypted in the database and is only accessible to authorized secretaries and administrators.

The National Register number is facultatif and reserved for patients already registered. When provided, it is used exclusively to bring the message closer to an existing file; it is encrypted, associated with a reconciliation fingerprint and only its last four digits are displayed in the tracking list. It is never required for a general question.

Closed messages are deleted after twelve months, unless there is a justified connection to the patient's file or a documented legal obligation. Minimized evidence of confirmations may be kept separately.
